Position Description: Board Position - Volunteer Bookkeeper

The Western Canada Peer Training Society (WCPTS) is dedicated to fostering peer support communities that inspire hope, enhance resilience, and promote well-being. Through specialized training and mentorship, WCPTS equips individuals with lived experience to support others, creating inclusive and supportive environments. The organization also offers practicum placements, mentorship, and monthly community practice sessions, providing ongoing growth opportunities for peer supporters. 



Position Summary


The Volunteer Bookkeeper is responsible for overseeing the financial aspects of the Society, managing financial transactions, and ensuring that accurate monthly and annual records are maintained. This position plays an important role in financial planning, budgeting, and reporting to the Board of Directors, Society members, and auditors. The Volunteer Bookkeeper ensures that all funds are properly managed and that monthly Bank Reconciliations and Balance Sheets are prepared and audited in a timely manner. 


Key Responsibilities 


  1. Meeting Participation: 

  • Attends 9 monthly meetings of the Society, the Board, and the Executive Committee. 
  •  Serves as a member of the Board 

  1. Financial Management: 

  • Ensures that all monies paid to the Society are deposited into the bank
  • Maintaining accurate financial records for each project, including receipts and payments. 
  • Ensures all receipts are sent to the Secretary for filing. 
  • Keeps an accounting of project-specific funds and ensures they are properly reflected in the monthly statements. 

  1. Financial Reporting: 

  • Provides detailed and accurate accounts of the Society’s revenues and expenditures to the Board and members at Regular General Meetings or as requested. 
  • Prepares the financial statements for audit and ensures they are reviewed by the appointed auditors. 
  • Presents an audited statement of the financial position of the Society at the Annual General Meeting. 
  • Submits copies of all financial statements and reports to the Secretary for the permanent records of the Society. 

  1. Compliance: 

  • Ensures that the Society’s financial records are audited and presented/submitted annually. 

  1. Other Duties: 

  • Carries out additional responsibilities and duties as assigned by the Board of Directors. 


Skills & Qualifications:

  • Knowledge of financial management and bookkeeping. 
  • Experience in preparing financial statements and reports. 
  • Excellent attention to detail and accuracy. 
  • Strong leadership and organizational skills. 


The Volunteer Bookepper's role is pivotal to maintaining the financial health and transparency of the Society. This position works closely with the Board to ensure best financial practices and compliance with regulatory requirements. 


Time Commitment: 5-7 hours a month September to June
